My Outlook folders are very cluttered

Problem

I want to automatically sort emails, or set up emails to be archived without interaction.

Solution

  1. Open Outlook to the main tab (email) and find the messages you would like to filter

  2. To select multiple messages, Hold down the CTRL key while clicking.

  3. Once the emails are selected, right-click and choose Rules.

    1. If the sender is the same across all messages, the Create Rule… option should be available.

    2. If details are mixed across messages, click on Manage Rules & Alerts… and then select “New Rule…” at the top-left of the window to open the Rules creation wizard

       

  4. Either choose from the available templates at the top, or start creating a new rule from scratch. For this demonstration, we will build a new rule from scratch with “Apply rule on messages I receive”.

  5. As you select conditions for the new rule, you will see the description of the rule update in the box at the bottom. Select all the conditions you need to accurately filter your desired messages.

  6. Click on the underlined values in the bottom box to edit the specific values of each Condition.

  7. Click Next and repeat the same process for the Actions that are applied to all of the messages that meet the condition. To archive the emails, select “Move it to the specified folder”, click the underlined value for the location and select the Archive folder.

  8. After setting your actions, repeat the same process for choosing any exceptions to the rule. These are not always necessary but may help you further isolate which emails to process.

  9. Confirm your new rule on the file page and give the rule a name.

    1. Important: Make sure to check the “Run this rule now on messages already in inbox” checkbox (disabled by default) if you want the rule to be processed for all of your existing mail.

  10. Click Finish
