Getting started with OfficeSpace
This guide will walk you through downloading the OfficeSpace app on your mobile device, signing in, and booking your desk.
Step 1 - Downloading the OfficeSpace Software from your smartphone app store.
Click the link below to download and install OfficeSpace on your mobile device.
Step 2 - Signing in.
Once you open the app, you will need to enter the HLW OfficeSpace domain name below:
hlw.officespacesoftware.com
The intelligent hub recognizes you as an HLW employee on the next window and prompts you to enter your office credentials. Type in your username and password, then click continue.
OfficeSpace is enabled with single sign-on to provide you with a smother logging-in experience. The sign-in page will redirect you to a Microsoft sign-in window, where you can log in using your HLW email and password.
Once you log in, you will be taken to the OfficeSpace visual directory home page.
From the home page you have the ability to:
Search for anyone across HLW offices.
Fill in your COVID symptom checker form
Browse all HLW office floor plans
Find your desk location in the office
Book a desk
Manage your booking
Step 3 - Booking Your Desk
To book your desk
Select “Browse by floor” from the main menu
On the next screen, select an office location to view the floor plan
Navigate the floor plan to find an available desk and click book
From the booking menu, you can select to book a seat for a single day or select multiple days
Step 4 - Booking a Hoteling Desk
To book an available hoteling desk
(Hoteling desks are unassigned seats that have Universal Laptop Docking Stations or High-Powered Desktops)
Select the “Book a desk” from the main menu
The next screen is an advance search window. You can select the office location and filter the available seat selection by specific technology.
Clicking on the Find button will show you all the available desks that match your search criteria on the floor plan
Select a desk and book for your desired day/days
Step 5 - Viewing your peer's bookings
To view your peers reservations
Navigate the floor plan and select the person you want to see their reservations
Click on the view more button or the up arrow to view their contact card
Select the calendar button on the contact card
From the new window, you can expand the month to view all the dates. If a date has a dot underneath, that means your peer has reserved to be in the office on that date.
*Every Friday, a look ahead report will be sent to the office to view all peer bookings for the coming week
Step 6- Manage your bookings
You can view your upcoming desk reservations directly on the home page.
Clicking on the “My bookings” button takes you to the full list of your upcoming and previous bookings.
From here you can select and delete any reservations you will no longer need.
Select the reservation you would like to cancel and click the garbage bin at the top right.
You will receive a cancelation warning. Select yes to complete.
Step 7- View Upcoming Bookings
To View upcoming bookings for your colleagues
Once you log into OfficeSpace, there is a Calendar drop-down menu towards the top right of the website
Select the future date you would like to see the bookings for
When you have a future date selected, you have a visual indicator at the bottom telling you that a future date is set. From that banner, you can also jump back to Today's view.
Step 8- (If Required) Completing the Safeguard Form
The Safeguard Form will be directly in the app.
To complete the form
select “Safeguard Form” from the main OfficeSpace menu.
On the new page, select your office location from the drop-down menu.
Complete the questionnaire and select submit.
